Dudr Tools s.r.o. is committed to protecting the personal data of customers, online shop users and other people who contact us.
This document explains which personal data we process, why we process it, how long we keep it and what rights you have in relation to that processing.
1. Data controller
The data controller is Dudr Tools s.r.o., Sazovice 267, 763 01 Sazovice, Czech Republic. Company ID: 02018357. VAT ID: CZ02018357. Email: info@dudr.cz. Phone: +420 776 566 890.
2. Personal data we process
Depending on how you use our services, we may process your first and last name; company name; company ID and VAT ID; billing and delivery address; email address; telephone number; information about orders and purchased goods; delivery and payment method; information needed for accounting and tax documents; information about complaints or withdrawal from a contract; customer account information; communications with us; technical information relating to your use of the website and online shop; and records of consent given or withdrawn. For business customers, we may also process the personal data of their contact persons.
3. Orders and performance of a contract
We process personal data needed to receive, process and deliver an order so that we can accept and fulfil the order, communicate with the customer, deliver the goods, receive and record payment, issue documents, handle a complaint or withdrawal from the contract, and provide related customer support. Separate consent is not required for this processing because it is necessary to enter into and perform a contract.
4. Accounting and legal obligations
We must retain some personal data after an order is completed to meet accounting and tax obligations, keep records of documents, comply with other legal obligations, and protect or exercise our legal claims. We process this data for the period required by applicable law or for as long as necessary to protect our rights.
5. Customer account
If you create a customer account, we process the data needed to operate it, particularly identification and contact details, order history, saved billing and delivery details, and documents relating to orders. A customer account is not required to make a purchase.
6. Foreign business customers and VAT ID verification
If a customer requests a purchase as a foreign business registered for VAT, we may process data needed to verify the VAT ID, check company details, determine the correct tax treatment, record the verification result and, where applicable, manually approve the business customer. We may also store the date and result of verification and supporting documents needed to demonstrate the correct tax treatment.
7. Complaints, withdrawal and other customer requests
If you make a complaint, withdraw from a contract or submit another request, we process the data needed to handle and record it. This may include identification and contact details, order number, product details, a description of the defect or request, photographs and other documents, and communications relating to the case.
8. Enquiries and expert advice
If you contact us through a form, by email or through another channel, we use the data you provide to answer your enquiry, prepare an offer, recommend a suitable product or service, and communicate further about your request. We use the data only to the extent needed to handle the particular request and related business communications.
9. Who receives personal data
We disclose personal data only to the extent necessary to people and organisations that help us run the online shop, fulfil orders and provide related services. Depending on the circumstances, recipients may include carriers and logistics partners; payment service providers; IT, hosting and technical support providers; providers of accounting, business and information systems; accounting, tax, legal and other professional advisers; and public authorities where disclosure is required by law. We give each recipient only the data necessary for the relevant purpose. Order data may also be processed in our accounting, business and information systems to record customers and orders, dispatch goods, issue invoices and fulfil legal obligations.
10. Payments
For online payments, some data may be passed to the relevant payment service provider. Dudr Tools does not normally process complete payment card details when payment is made through an external payment gateway.
11. Marketing communications
If you are a customer, we may use your electronic contact details, subject to legal requirements, to send offers for our own similar products or services. You can object to this use and easily unsubscribe from each subsequent marketing message. If you are not a customer, we send marketing messages only where we have an appropriate legal basis. Marketing consent is not a condition of purchase. The Czech Data Protection Authority (ÚOOÚ) expressly states that customers must be able to refuse further marketing easily.
12. Cookies and analytics
The website may use essential cookies needed for its operation, analytics cookies and, where applicable, marketing cookies. Essential cookies can be used without consent. We use other cookies according to your consent settings. Further details are in the separate Cookie Policy and the Cookie Settings interface.
13. How long we keep personal data
We keep personal data only for as long as necessary for the purpose for which it was obtained. The period depends on the type of data: order and contract data is kept for contract performance and the protection of legal claims; accounting and tax documents for the period required by law; complaint and withdrawal data for handling those matters and protecting legal claims; customer account data for the lifetime of the account and then as needed to comply with legal obligations; and marketing data until consent is withdrawn, an objection is raised or another period permitted by law expires. After the relevant period, we delete or anonymise the data unless the law requires us to retain it.
14. Your rights
Depending on the circumstances, you have the right to receive information about processing; request access to your personal data; request correction of inaccurate data; request erasure; request restriction of processing; receive your data in a structured, machine-readable format where legal conditions are met; object to processing based on legitimate interests; and withdraw consent at any time where processing is based on consent. Withdrawal of consent does not affect the lawfulness of processing carried out before withdrawal. The right to erasure is not absolute: we may have to retain some data for accounting, tax or other legal reasons.
15. How to exercise your rights
For requests concerning personal data, contact Dudr Tools s.r.o., Sazovice 267, 763 01 Sazovice, Czech Republic, or email info@dudr.cz. Before responding, we may reasonably verify your identity to avoid disclosing personal data to an unauthorised person.
16. Complaint to a supervisory authority
If you believe that we handle your personal data contrary to the law, you can lodge a complaint with the Czech Data Protection Authority (Úřad pro ochranu osobních údajů). This does not affect your right to bring the matter before a court.
17. Automated decision-making
When processing ordinary orders, we do not use automated individual decision-making that would have legal or similarly significant effects on you. Automatic data checks, such as VAT ID verification, do not themselves replace a manual assessment where one is needed.
18. Security of personal data
We use appropriate technical and organisational measures to protect personal data against unauthorised access, loss, misuse, alteration, disclosure or destruction. Only people who need the data to perform their employment or contractual duties have access to it.
19. Changes to this policy
We may update this policy, particularly if the way we process personal data or legal requirements change. The current version is always available on our website.
